HOW MUCH IS A CONFERENCE TICKET?

WHO CAN ATTEND THE  2023 FIDI CONFERENCE?

The 2023 FIDI Conference is open to all FIDI Affiliates, sponsors and special FIDI guests holding a personal invitation. People not directly linked to a FIDI affiliated company or FIDI Global Alliance can participate if they are registered as a ‘social attendee’.

WHAT IS A SOCIAL ATTENDEE?

Social attendees are defined as spouses, life partners or relatives of a regular registered attendee and who are not linked to the household goods moving industry. Social attendees are entitled to participate in all social activities of the FIDI Conference programme but are not allowed to participate in the business sessions or hold business meetings in the official conference hotel.

 

Each regular registered attendee is allowed to register one social attendee.

CAN I CANCEL MY REGISTRATION BEFORE THE CONFERENCE?

You can cancel your conference registration free of charge until 05 January 2023, 00h00 CET (GMT+1).   Send an email to admin@fidievents.org and we will proceed as requested.  For cancellations after 05 January 2023, the following conditions apply:

•    70% refund for cancellations requested between 06 January and 27 January 2023 00h00 CET (GMT+1) (a 30€ admin fee including VAT will be charged)
•    50% refund for cancellations requested between 28 January and 03 March 2023, 00h00 CET (GMT+1)

(a 30€ admin fee including VAT will be charged)
•    No refund for cancellations requested after 04 March 2023

Cancellation due to documented COVID-19-related travel restrictions will be assessed on a case-by-case basis.

FIDI retains the right to determine what constitutes an emergency situation, if additional supporting documentation is required, and if a refund will be given, and FIDI’s decision will be final. FIDI will not refund due to travel carrier cancellations, visa refusals or other unforeseen incidents beyond the attendee’s control. All attendees are urged to purchase personal travel insurance.

Please note that any refunds will be processed after the 2023 FIDI Conference.

 

WILL THE OPTIONAL TOURS AND ACTIVITIES BE REIMBURSED?

Ticketed optional tours and activities are non-refundable. Should the conference be cancelled, or if you cancel your registration, then no ticketed tours or activities will be reimbursed.

WILL FIDI REIMBURSE MY FLIGHTS OR ACCOMMODATION?

No, you are responsible for your travel and accommodation arrangements and FIDI will not reimburse flights and/or accommodation. Do note that hotel bookings are not part of the conference registration process and are subject to the hotel booking and cancellation policy, as displayed on the conference website (see below).

WHAT IS THE CANCELLATION POLICY FOR THE SHANGRI-LA HOTEL, BANGKOk?

The following cancellation policy applies to hotel bookings:


Attendees who cancel their reservations or shorten their stay after booking using the special FIDI promotion code, before 1 March 2023 shall incur a penalty charge no greater than the guest room charge for the first night of the cancelled reservation.


For attendees who cancel their reservations or shorten their stay after 1 March 2023, a full range of stay penalty will be applied.


Attendees who check out from the hotel prior to the end of their reservation may be charged for the duration of their reservation.  At any time prior to their reservation check-in times, attendees shall be allowed to transfer reservations to other attendees without restrictions or any charges of expenses.


No shows will result in full range of stay penalty charge.

TRAVELLING FROM Suvarnabhumi Airport to the Shangri-La Hotel, Bangkok.

Buses and trains are available but involve multiple changes

Taxis:  Taxis are not the most reliable form of transport so we would recommend you book your own airport transfer.  

 

If you do decide to take a taxi from the airport, the journey should take 25 minutes and cost up to 500 THB (approximately 14€).  We highly recommend that you ensure that the taxi meter is running or that you agree a price before you get in the taxi.  Make sure you have cash available for the taxi journey; many taxis do not accept payment by card.  Some taxis have very limited luggage space, so we would recommend you organise your own private airport transfer.

 

Private Airport Transfer: A more reliable option is to book your own transfer.  There are various companies that can be pre-booked online.  There are different grades of vehicles at different prices available to book your private transfer:

Shangri-La Airport Transfer:  If you are staying at the Shangri-La Hotel they can organise an airport pick up for you. Price will depend on the number of passengers and luggage.  Please arrange this directly with the hotel.

DELEGATE BADGES

Wear it at all times! This is very important, not just to identify you to hotel and conference staff but also to your fellow attendees.


Your badges will allow you access to the hotel and all the 2023 FIDI Conference sessions and activities. Only one badge will be issued per delegate. If you have lost your badge, an extra badge can be issued for a fee of 15€ at the registration/help desk. If for any reason your badge or lanyard is damaged, it will be replaced upon receipt of the damaged one.


Badges are personal, they should not be lent or exchanged.

DRESS CODE

The dress code for the 2023 FIDI Conference is: 


Business sessions: smart casual or business casual
 

Reception: business casual/cocktail attire
 

Gala dinner: business formal/black tie optional

Please note that the majority of transport to and from venues, tours etc will be by boat so sensible footwear is recommended.

The conference app will be available for download as of January 2023, we will inform attendees when the conference app is available to download. The conference app is your go-to place for all up-to-date information about the 2023 FIDI Conference. This is where you can:


•    see and contact your fellow attendees;
•    find the latest conference programme updates and sessions details;
•    find information about our valued sponsors.

 

With the aim of reducing the FIDI Conference’s environmental impact, FIDI Global Alliance has taken the decision to limit the amount of print material for the 2023 FIDI Conference in Bangkok. This means that there will be no printed attendee list, programme or brochures; where possible, we will use recycled and biodegradable material for printed items, including the attendee badges. You can find more information about the FIDI Conference’s sustainable efforts via our sustainability pledge

During the FIDI Conference, feel free to contact the FIDI registration/help desk on site.  For any needs outside of the conference such as restaurant bookings or travel plans, please visit the hotel concierge, located in the hotel lobby.   

COVID-19

At FIDI, we take the health and safety of all conference attendees very seriously, and we will do everything in our power to ensure that the 2023 FIDI Conference will go ahead following applicable COVID-19 safety measures and Thai regulations.


As of October 2022 Thailand has declassified Covid-19 from a dangerous communicable disease to a communicable disease under surveillance and therefore mask wearing is a voluntary practice.  However it is recommended that masks are worn inside public buildings and that you wear a mask in crowded or badly ventilated areas such as public transportation.  

As of October 2022 you will no longer be required to present Covid-19 related documents such as a certificate of vaccination or Covid-19 test result upon arrival in Thailand.
